Who we are

Wellknown ("we", "us", "our") is operated by Darling Mellow Ltd, trading as Wellknown, registered in England. We provide an online presence platform for local businesses including website generation, review collection, and directory listing services.

What information we collect

We collect the following information:

Account information: name, email address, password (encrypted), country
Business information: business name, address, phone number, email, services, opening hours, social media links
Customer information: names, email addresses, and phone numbers of your customers (provided by you for review requests)
Review information: reviewer name, rating, review text
Enquiry information: name, email, phone, message from contact form submissions
Analytics data: page views, IP address hashes (we do not store raw IP addresses), referrer URLs, user agents
Payment information: processed securely by Stripe. We do not store card details.

How we use your information

To provide and maintain your account and website
To send review request emails on your behalf
To display reviews on your published website
To process payments via Stripe
To send you service-related emails (password resets, billing notifications)
To provide analytics about your website performance
To list your business in our directory (if on a paid plan)

Legal basis for processing (UK GDPR)

Contract: processing necessary to provide our services to you
Legitimate interest: analytics, fraud prevention, service improvement
Consent: marketing communications (if applicable)

Who we share data with

Stripe: payment processing
Namecheap: email delivery
Anthropic: AI-powered review response suggestions (Growth plan only, review text is sent to generate responses)
Hetzner: server hosting (Helsinki, Finland)

We do not sell your data to third parties.

Data retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days. Some data may be retained for legal or accounting purposes for up to 7 years as required by HMRC.

Your rights

Under UK GDPR, you have the right to:

Access your personal data
Correct inaccurate data
Delete your data ("right to be forgotten")
Restrict processing
Data portability
Object to processing
Lodge a complaint with the ICO (ico.org.uk)

Account deletion

You can delete your account at any time from your dashboard under Settings, or by emailing hello@wellknown.online. When you delete your account:

Your business profile and published website will be removed immediately
Your customer data (names, emails, phone numbers you uploaded) will be deleted
Reviews left by third parties will be anonymised
Your personal data will be deleted within 30 days
Stripe will retain payment records in accordance with their own policies

Data processing (for business users)

When you upload customer data (names, emails, phone numbers) to send review requests, you are the Data Controller and we act as a Data Processor. By using our service, you agree to the following:

You confirm you have a lawful basis (typically legitimate interest or consent) to share your customers' contact details with us for the purpose of sending review requests
We will only process customer data for the purposes you instruct (sending review requests, collecting reviews, and follow-up emails)
We will not use customer data for our own marketing purposes
We will delete customer data when you delete your account or when you remove individual customers
We implement appropriate technical and organisational measures to protect customer data
We will notify you without undue delay if we become aware of a data breach affecting customer data

Children's data

Our service is not intended for use by anyone under the age of 18. We do not knowingly collect data from children.

Cookies

We use a single essential session cookie (PHPSESSID) to keep you logged in. This is strictly necessary for the service to function and does not require consent. We do not use tracking cookies, advertising cookies, or any third-party analytics cookies.

International transfers

Our servers are located in Finland (EU). If you are a US customer, your data is processed in the EU under adequate data protection standards. Stripe processes payment data in accordance with their own privacy policy.

Changes to this policy

We may update this policy from time to time. We will notify you of significant changes by email or by posting a notice on our website.
